Google Workspace Deployment

Force-install PromptFence to all Chrome browsers in your Google Workspace organization.

Prerequisites

Google Workspace Admin access with permission to manage Chrome policies
PromptFence License Key (available in your dashboard after signup)
Extension ID from Chrome Web Store (provided after extension is published)
Chrome Browser Cloud Management enabled (usually enabled by default)

Step-by-Step Deployment

1Access Google Admin Console

Navigate to admin.google.com and sign in with your Super Admin account.

2Navigate to Chrome Management

Click Devices in the left sidebar
Click Chrome
Click Apps & extensions
Click Users & browsers in the top tabs

3Select Organizational Unit

On the left, select the organizational unit where you want to deploy PromptFence. To deploy to everyone, select the root organization.

💡 Tip: Start with a pilot group (e.g., IT department) before rolling out organization-wide.

4Add PromptFence Extension

Click the yellow ➕ icon (Add Chrome app or extension)
Search for PromptFence in the Chrome Web Store search
Click Select next to PromptFence

⚠️ Important: If you can't find PromptFence in the search, the extension may not be published yet. You can use the Extension ID directly by entering it in the search box.

5Configure Installation Policy

After selecting the extension, you'll see the configuration screen
Set Installation policy to: Force install
This ensures the extension is automatically installed and cannot be removed by users

6Configure Managed Policy (License Key)

Scroll down to the Policy for extensions section and paste the following JSON configuration:

Replace YOUR_LICENSE_KEY_HERE with your actual License Key from the PromptFence dashboard.

📋 Where to find your License Key:
1. Log in to app.promptfence.io
2. Navigate to Settings → License
3. Copy your License Key (format: PF-XXXX-XXXX-XXXX)

7Save and Apply

Click Save at the bottom of the page
Chrome will sync the policy within 15 minutes for active users
Users may need to restart Chrome to see the extension

User Experience

What your users will see:

✅ PromptFence will automatically appear in their Chrome extensions (no action required)
✅ The extension will be pre-activated with your organization's License Key
✅ Users cannot uninstall or disable the extension (force-installed)
⚠️ When visiting AI platforms (ChatGPT, Claude, Gemini), they'll see a warning banner at the top
🛡️ If they attempt to paste sensitive data, the extension will block or warn them based on your policy

Verification

Confirm deployment was successful:

Ask a user in the target organizational unit to check their Chrome extensions (chrome://extensions)
They should see PromptFence installed with a note: "Installed by your administrator"
Visit the PromptFence dashboard to see real-time events from your users
Test by having a user visit chatgpt.com - they should see the warning banner

Troubleshooting

Extension not appearing for users?

Wait 15-30 minutes: Chrome policy sync can take time
Restart Chrome: Have users completely quit and restart Chrome (not just close tabs)
Check Chrome version: Ensure users are on Chrome 88+ (chrome://version)
Verify OU selection: Confirm you selected the correct organizational unit in Admin Console

Extension installed but not activated?

Check License Key: Verify the License Key in the policy configuration matches your dashboard
Check JSON syntax: Ensure there are no typos in the policy JSON (commas, quotes, braces)
View extension popup: Have users click the PromptFence icon - it will show activation status

Users can still disable the extension?

Wrong installation policy: Ensure you selected "Force install" not "Allow install"
Personal vs. managed account: Verify the user is signed into Chrome with their work Google account

Custom Warning Messages

You can customize the warning message users see when visiting AI platforms by adding to the policy JSON:

Control whether PromptFence blocks sensitive data or just warns users:

Set "block_mode" to false for warn-only mode (recommended for initial rollout).
